A refrigeration engineer spots a damaged seal during a site visit. They take a photo, note the
equipment details and send the information to a service desk, who will then place an order for a
replacement seal.
As those in the field will know, this apparently simple process rarely goes to plan.
The person placing the order must first work out the exact replacement fridge seal they need, and this
is where the friction starts. The photo may show a faded data plate or the profile may not be clear
(and by this time, the engineer is already on his or her way to the next job!) Even if the model number
is clear, it may cover several door or seal options, or the appliance may have been repaired before,
meaning the original specification no longer applies. The OEM or supplier may not have the seal in
stock, or it may be written off as obsolete.
For service desk teams, the simple task suddenly involves several messages back and forth. They
may need an additional measurement or a clearer view of the seal cross-section. Each extra step
keeps the end user waiting for their seal.
A photo is only useful when it includes the details the service desk needs to place an order. A wide
shot of the fridge, for example, rarely gives enough information to identify the gasket profile.
Clear images of the corners of the seal, its cross-section and the fixing method are far more helpful,
as are accurate width and height measurements.
Problems start when photos are blurred, measurements are missing or the seal is too damaged to
show its original shape.
Many fridge seal profiles look almost identical at first glance. Small differences in the dart, flap or lip
can determine whether the seal fits correctly.
A profile that is slightly too wide may not sit in the channel. A different lip shape may stop the door
from closing properly. Ordering from appearance alone can therefore lead to the wrong seal arriving
on site.

The more pieces of accurate information an engineer sends back, the easier it will be for the service
desk to order the correct replacement first time.

The longer a customer is left waiting for a replacement seal, the more money they are wasting on high
utility bills.
A delayed seal order also affects everyone involved in the procurement and fitting process. The
engineer may need to return to site to collect additional information or take more photographs. The
service desk is tied up chasing suppliers, checking details and explaining the delay. For a busy
refrigeration team, this has a knock on effect on other engineers and customers.
Lead times and purchase price are not the only factors refrigeration teams need to look at when
choosing a seal supplier. Even if it arrives quickly, a cheap, poor-quality replacement may wear out
quickly or fit badly, putting reliable temperature control at risk when Food Standards Agency guidance
stresses that correct chilling helps prevent harmful bacteria from growing. That can lead to
complaints, repeat visits and more pressure on engineers.
The ideal result comes from getting a good-quality seal quickly and fitting it correctly first time.
Seal identification is easier with clear, detailed product data. High resolution profile images, accurate
dimensions and consistent descriptions help engineers compare options with more confidence. Order
history is just as important. It should be easy to see which seal was supplied, where it was used and
whether it may be needed again.
Better data also reduces dependence on model numbers alone. Even when a data plate is unclear,
teams can use previous measurements, photos and profile details to confirm the right replacement
fridge seal. The goal is simple. Once a seal has been identified correctly, no one should have to solve
the same problem twice.
In many cases though, the lessons arer't learned. Previous order details are lost or an experienced
engineer retires and a new recruit has to start evidence-gathering from scratch. This wastes time and
creates more risk of error.
Sourcing a replacement seal might require some effort the first time. Engineers or service desk teams
may need to gather photos, take measurements, record model details and cross-check profile
information before the correct seal can be confirmed. But once that work has been done, ordering the
same seal again can be simplified using an asset register.
An asset register is a database that links each appliance to the correct replacement seal. It can store
the name of the site, equipment details, seal profile, measurements and previous order information.
These are linked together under a single ID number.
This unique ID is used whenever the same fridge or freezer needs another seal. This is especially
useful for engineers managing several customer sites. It's also valuable for FM companies that handle
large numbers of assets.
A clear digital asset register supports faster quotations, more accurate orders and fewer repeat
questions. It also gives teams a shared source of information rather than relying on one person’s
memory.

As technology improves, consider bringing in AI parts identification tools to help compare images
against known profiles, dimensions and previous orders. These tools wouldn't replace expert checks,
but they could reduce the time spent narrowing down the options.
If your engineers are already taking photos on site, the next step is making those photos easier to turn
into the right order.
A clearer process can reduce delays, avoid wrong seals and make repeat ordering far simpler. Better
product data, reliable order history and an asset register all help remove friction from the task.
